CANCELLATION POLICY

Cancellation, Refund & Weather Policy

At Bellevue Tennis, we are committed to providing a high-quality experience for all of our participants. Our policies are designed to be fair and transparent while allowing us to manage registrations, court time, and staffing effectively across all of our programs.

This document outlines our cancellation, refund, and weather policies for all Bellevue Tennis programs. Please review the section that corresponds to your specific registration. A copy of this policy is also available at bellevuetennis.com/cancellation-policy.


To initiate any cancellation, please contact us via email at info@bellevuetennis.com, or use the cancellation links found in the booking platform (Jumbula) you used to register.


1. Group Classes & Drop-In Sessions

This section applies to all recurring group training programs, including Junior High Performance classes and Adult Training Group classes offered in multi-week session blocks, as well as drop-in and one-off class registrations.


Multi-Week Session Cancellations


More than 1 week before the session start date:

Cancellations made more than one week before the first class of the session will receive a full refund to the original form of payment, less a $15 administrative fee.


Less than 1 week but more than 72 hours before the session start date:

Cancellations made within one week but more than 72 hours before the first class will be subject to a $100 late cancellation fee. The remaining balance will be refunded to the original form of payment. In cases of late cancellation, at the discretion of Bellevue Tennis, a referred substitute player of a similar level may occasionally be accepted to take the spot for the remainder of the session.


Less than 72 hours before the session start date / No-shows:

Cancellations made with less than 72 hours’ notice and no-shows are not eligible for a refund or credit.


Mid-session withdrawal:

Once a session has begun, no refunds will be issued for remaining classes. If you need to withdraw mid-session due to an unforeseen injury, a prorated program credit may be issued at the discretion of the coaching staff. A formal doctor’s note is required. If issued, the credit is valid only for the current season and subject to program availability.


Individual absences:

Individual missed classes within a session are not eligible for refunds, credits, or makeups.


Drop-In & One-Off Class Registrations

For participants with uncertain or variable schedules, we offer drop-in and one-off class options and encourage their use as a flexible alternative to multi-week session commitments.

Drop-in and one-off class registrations are subject to the same cancellation windows and terms as multi-week sessions, calculated from the date of the registered class rather than a session start date.


Please note: Drop-in classes, once registered for and confirmed through our registration platform (Jumbula) or by contacting us directly, are considered confirmed bookings and are subject to the full cancellation policy. This includes registrations that may be unpaid at the time of booking due to manual processing and confirmation by Bellevue Tennis, or through any “pay later” or “pay in person” options available through our booking software. Participants with outstanding cancellation fees or unpaid balances will not be permitted to register for or attend future classes until all fees are paid in full.


2. Multi-Day Camps (Single-Week Camps)

This section applies to all single-week, multi-day camp programs, including Junior High Performance Half-Day Camps.


More than 14 days before the camp start date:

Cancellations made more than 14 days prior to the start date will receive a full refund to the original form of payment, less a $15 administrative fee.


Between 14 days and 72 hours before the camp start date:

Cancellations made between 14 days and 72 hours prior to the start date will receive one of the following options:

  • Option A: A 50% refund to the original form of payment.
  • Option B: A 100% program credit to be used for future Bellevue Tennis programs within the current season, subject to space availability.


Important: If you opt for the 100% program credit and subsequently cancel the new registration made with that credit, the credit is forfeited. In that case, a 50% refund of the original registration fee will be issued instead. Credits cannot be rolled over to multiple future registrations.


Less than 72 hours before the camp start date / No-shows:

Cancellations made with less than 72 hours’ notice and no-shows are not eligible for a refund or credit.


Individual day absences:

Individual missed camp days within a registered camp week are not eligible for refunds, credits, or makeups.


Cancellations due to injury:

For cancellations due to an unforeseen injury occurring with less than one week’s notice, a prorated program credit may be issued at the discretion of the coaching staff. A formal doctor’s note is required. If issued, the credit is valid only for the current season and subject to program availability.


Drop-in / single-day camp registrations:

Drop-in and single-day camp registrations follow the same cancellation windows above, calculated from the registered day’s date rather than the camp week start date. As with all Bellevue Tennis registrations, drop-in bookings are considered confirmed once submitted through our registration platform or arranged directly with our staff, and are subject to the full cancellation policy. This includes registrations that may be unpaid at the time of booking due to manual processing and confirmation by Bellevue Tennis, or through any “pay later” or “pay in person” options available through our booking software.


3. Private Lessons

This section applies to all private and semi-private lessons, both indoor and outdoor.


Outdoor Private Lessons


More than 24 hours before the lesson:

Cancellations made more than 24 hours before the scheduled lesson time will receive a full refund or no charge.

Between 12 and 24 hours before the lesson:

A $40 cancellation fee will be charged.

Less than 12 hours before the lesson / No-shows:

The full lesson fee will be charged.


Indoor Private Lessons


More than 48 hours before the lesson:

Cancellations made more than 48 hours before the scheduled lesson time will receive a full refund or no charge.

Between 24 and 48 hours before the lesson:

A $40 cancellation fee will be charged.

Less than 24 hours before the lesson / No-shows:

The full lesson fee will be charged.


Additional notes for all private lessons:

  • All outstanding cancellation fees must be paid in full prior to any new bookings. Participants with unpaid balances will not be permitted to register for or attend future lessons or any other Bellevue Tennis programs.
  • Cancellation fees may be waived at the discretion of the coach on a one-off basis.
  • Indoor lessons carry longer cancellation windows due to court rental commitments that cannot be recovered.


4. Weather & Rainout Policy

This section applies to all outdoor Bellevue Tennis programs, including group classes, camps, and private lessons.


Decision & Notification Timeline


Pre-session cancellation: If conditions require cancellation, participants will be notified via our WhatsApp broadcast group no later than 90 minutes before the session start time. If weather is borderline, a “monitoring” update will go out 2 hours prior, with a final decision at the 90-minute mark. Email and SMS notifications will also be sent through the Jumbula platform.


Mid-session cancellation: If rain, lightning, or unsafe conditions develop during a session and play cannot safely resume within 20 minutes, the session will be called. For group classes and camps, coaches will remain on-site until all junior players have been picked up.


Cancellation Triggers

Sessions will be canceled or called for any of the following conditions:

  • Active rain or wet/unsafe court surfaces
  • Lightning detected within 10 miles
  • Extreme heat (heat index above 100°F)
  • Poor air quality (AQI above 150)
  • Any other condition deemed unsafe by the coaching staff


Refunds for Weather Cancellations

When Bellevue Tennis cancels or ends a session early due to weather or other circumstances beyond our control, the following refund terms apply:


Full cancellation (session does not begin): A full refund will be issued for that session or camp day.


Partial session (session ends early): A prorated refund will be issued based on the portion of the session that was not completed.


Private lessons: If a private lesson is canceled by the coach or by Bellevue Tennis due to weather before the lesson begins, no charge will apply. If a lesson is cut short due to weather, the remaining time will be credited toward a future lesson.

Note: Weather-related refunds are initiated by Bellevue Tennis — no action is required from the participant. Refunds will be processed to the original form of payment.


Transportation & Pickup (Junior Programs)

In the event of a mid-session cancellation for any junior program (group classes or camps), parents or guardians must have arrangements in place for transportation and pickup of their player within 1 hour of the session being ended early. Players will not be released unsupervised unless a Bellevue Tennis or its staff are notified in writing, via email, or text message.

5. Cancellations by Bellevue Tennis

This section applies to cancellations initiated by Bellevue Tennis for reasons other than weather.

In the rare event that Bellevue Tennis must cancel a program, session, or lesson due to instructor unavailability, facility issues, or any other reason within our control, participants will receive a full refund for the affected session(s). We will notify all participants as promptly as possible via WhatsApp and the Jumbula platform.

If an entire multi-week session or camp week must be canceled before it begins, participants will receive a full refund to the original form of payment with no administrative fee.


6. General Terms


Outstanding fees: Participants with outstanding cancellation fees, late pickup fees, or any other unpaid balances will not be permitted to register for or attend any Bellevue Tennis programs until all fees are paid in full. This applies across all program types, including group classes, camps, drop-in sessions, and private lessons.


Administrative fees: Where noted, a $15 administrative fee applies to cancellations processed as refunds. This fee covers payment processing and administrative costs. Administrative fees are not charged when Bellevue Tennis initiates the cancellation.


Program credits: Where a program credit is offered, the credit is valid for Bellevue Tennis programs within the current season only and is subject to space availability. Credits are non-transferable and cannot be redeemed for cash.


Refund processing: All refunds will be processed to the original form of payment. Please allow up to 10 business days for refunds to appear on your statement.


Transfers: Requests to transfer between programs, session dates, or camp weeks may be accommodated on a case-by-case basis, subject to availability. Please contact us at info@bellevuetennis.com to discuss transfer options before canceling your current registration.


Dismissals for conduct violations: Participants dismissed from a program due to violations of the Bellevue Tennis Code of Conduct (bellevuetennis.com/code-of-conduct) are not eligible for a refund.


Repeated late pickups: Families removed from a junior program due to repeated late pickup violations as outlined in the Player Pickup & Late Pickup Policy (bellevuetennis.com/pickup-policy) are not eligible for a refund.


Policy changes: Bellevue Tennis reserves the right to update this policy at any time. The current version will always be available at bellevuetennis.com/cancellation-policy. Participants will be notified of any material changes.

Acknowledgment

By completing enrollment in any Bellevue Tennis program, all participants (and, for junior programs, their parent(s) or guardian(s)) acknowledge that they have read, understood, and agree to the terms of this Cancellation, Refund & Weather Policy.
